Return of ICT equipment - RDC staff in charge are Bradley R. and Asis


The default deadline to return your equipment (Laptop with charger and projector adapter/dongle, USB to USB-C dongle, external hard disk and for some of you iPad) is 4:30 pm Friday 30 June 2023.


You can keep the equipment for another week without further approval but you must notify Daniel Cheung so he can make a note. Of course, this means your exit form cannot be fully signed off until you return all items. In some circumstances we are able to extend this period - please email Harry Brown for consideration and approval.


If you require assistance with file backup /transfer please schedule time with helpdesk as soon as possible. Please make sure you have a large enough external drive or a cloud drive.


It is not possible to buy your RCHK equipment as it gets re-used but Samuel would consider it on a case-by-case basis especially if your laptop is 4 years or older. If you would like to buy a new laptop you could do so through https://www.eduoffer.com/esf/ (choosing staff purchase). You get a reasonable educational discount but need to wait about 8 weeks for delivery.


Access to ICT Systems - RDC staff in charge are Daniel and Fernando


ESF disables your access on the last day of your contract. This affects: Gateway, Assembly, eAccess, Phi, Oliver (library system)


RDC also disables access to ManageBac, TurnItIn, Weebly, door access and printing, wi-fi, teacher-shared file server, LIRC systems. Google classrooms and Seesaw are also transferred to new teachers.


Google Suite (email, drive calendar) - around 31 July you will also be removed from all distribution lists but your email will be active until 15 August. After that, your email gets archived rather than deleted and it can be reactivated should you return or temporarily if you need to access it for any reason.


File and calendar ownership


Please make sure that you have transferred ownership of any files and Google documents important to your team over to your team drive before the school year is completed at the end of June. If you are unsure how to do it please ask LT coaches.


Only in exceptional circumstances do we grant access to the ICT systems beyond 31 July. If you require such access to any or all of the systems please seek Harry’s approval. 


Copying files for your future use


All files created by you and your colleagues during your employment belong to Renaissance College but the school does not prohibit you from making copies for you to use and remix in your future employment. 


Red Door Centre is not able to provide support for making such copies - most of us have on average 50 GB of data and it is not benefiting the school in any way so our resources and efforts must be prioritized elsewhere.


We can recommend https://www.multcloud.com/ tool for migrating files from My Drive to personal cloud storage such as personal or new school Google Drive, Box or dropbox. The school has an upgraded Multcloud account and Daniel Cheung can help if all of your files are in one folder, ready for transfer. Unfortunately, that folder can not be in a Shared Drive. It must be in My Drive.


If you are unsure where to start, Bradley Stewart is kindly offering his assistance with answering questions but please do not ask/expect him to do the migration for you.  If you have a personal or new school Google account and enough storage Bradley has made a TUTORIAL HERE for your migration.

Leaving Files in your Google Drive


Due to the way Google deals with files that have been shared, owned, transferred, and links embedded in presentations and websites, it is hard to always make sure that files are in the right/same place after transfer between drives and ownership has been carried out. We would like to request that even if you move files to team drives or change ownership NOT to delete any school-related files from "My Drive". Please delete personal files.
